HR Administration:
- Maintain accurate and up-to-date employee records, including personal information, employment contracts, performance reviews, confirmation letters and attendance on both HRIS and SharePoint.
- Manage HR systems and ensure information are up to date
- Prepare and manage HR-related documentation such as offer letters, employment contracts, and termination letters, promotion and increment letters
- Manage probationary period and KPI setting for the team
- Manage employee leaves (annual, sick, vacation among others)
Recruitment, onboarding and offboarding:
- Coordinate the recruitment process, including posting job vacancies, screening resumes, attending interviews as per company policy
- Ensure that new hires attend induction and understand company policies
- Ensure all new hire paperwork is completed accurately and submitted in a timely manner.
- Manage the onboarding process for new employees, ensuring they have the necessary tools, for instance laptop, desk, uniforms, fuel card and sim card where applicable.
- Ensure proper management of uniforms
- Manage the offboarding process, including conducting exit interviews and ensuring the return of company property
Payroll and Benefits Administration:
- Process payroll for the business units forming part of the Operations department in a timely and accurate manner, ensuring compliance with local regulations.
- Administer employee benefits programs, including health insurance, retirement plans, and other company-specific benefits
- Resolve any payroll or benefits-related inquiries from employees
Compliance and Reporting:
- Ensure compliance with local labour laws, company policies and HR SOPs
- Prepare and submit necessary HR reports including headcount, turnover, and absence reports
- Assist in audits and ensure HR practices meet statutory and legal requirements.
Learning and Development:
- Identify training needs in collaboration with department heads
- Organize and coordinate learning and development programs, workshops, and training sessions to enhance employee skills and competencies
- Track the G1 and G3 application on the HRDC platform for refund purposes
Welfare Activities:
- Plan and execute employee welfare activities and events aimed at promoting a positive work environment.
- Develop initiatives to enhance employee well-being such team-building activities, and social events.
- Act as a point of contact for employees seeking support
Employee Grievances and Disciplinary Matters:
- Handle employee grievances, ensuring concerns are addressed promptly and fairly
- Investigate complaints and conduct thorough inquiries into employee grievances
- Manage disciplinary processes in accordance with company policies, including issuing warnings, conducting disciplinary hearings, and recommending corrective actions with the assistance of the legal advisor
Monthly Reporting and HR Metrics:
- Compile and analyze monthly HR metrics, including but not limited to headcount, employee turnover, absenteeism, and performance data
- Prepare monthly HR reports for senior management, providing insights and recommendations based on the analysis of HR metrics
- Monitor key HR indicators and trends to identify areas for improvement and support data-driven decision-making within the HR department
Employee Relations:
- Act as a point of contact for employee queries regarding HR policies and procedures.
- Support the HR team in resolving employee relations issues, grievances, and conflicts.
Performance Appraisal:
- Administer the company’s performance appraisal process for the departments forming part of Group Operations, ensuring timely and accurate completion of performance reviews (Mid-year and final year-end reviews)
- Assist HODs and employees in setting clear and achievable performance goals.
- Provide guidance on the performance appraisal process, including training managers on effective evaluation techniques.
